Action Required: Review and Correct Expenses Before July 1, 2027 Cutover

Learn about how departments should review and correct expenses before the cutover to the new Chart of Accounts.

As UCSF prepares for the July 1, 2027 cutover to the new Chart of Accounts, Finance Managers are asked to work with their departments to review and correct expenses that have posted to a default Chartstring or an incorrect Chartstring.

It is important that these corrections are completed before the cutover. After July 1, 2027, departments will no longer be able to update these expenses in the originating source system using the current Chartstring.

What Finance Managers Need to Do

Finance Managers should work with their departments to:

  • Identify expenses that posted to a default Chartstring and determine the appropriate Chartstring for the expense.
  • Review expenses that may have posted to an incorrect Chartstring and make any necessary corrections. 
  • Ensure expenses are charged to the appropriate funding source and Chartstring before the cutover. 
  • Complete all required corrections in the applicable source system before the established cutoff deadline. 
  • Follow up with department staff as needed to ensure outstanding corrections are completed timely. 

Why This Is Important

Expenses that remain on a default or incorrect Chartstring at the time of cutover may require a different correction process after the new Chart of Accounts goes live. Once the cutoff has passed, the expense can no longer be updated in the originating source system using the current Chartstring.

Completing this review in advance will help ensure expenses are appropriately recorded before conversion and reduce the need for post-cutover corrections.

Deadline

All identified expenses should be reviewed and corrected before the applicable cutoff date and the July 1, 2027 cutover. Please begin working with your departments early to identify and resolve outstanding items. Additional information regarding deadlines, reports, and cleanup procedures will be communicated as we approach cutover.
