HBS Outage and Early Timekeeping Deadlines during Cutover to UCPath

HBS will continue to be impacted during the transition to UCPath. Consult the following timekeeping dates and deadlines between now and June 1 and plan accordingly. The full UCPath cutover schedules for campus and UCSF Health are available on the UCPath website.

HBS System Outage during Conversion

HBS will be unavailable to all users from May 28 through May 31. HBS will reopen for timesheet and webclock entry on June 1.

Biweekly Timekeeping Deadlines for Period Ending May 30

Biweekly employees are encouraged to review and submit timesheets for the pay period ending May 30 by May 27, prior to the HBS conversion outage. HBS will be unavailable from May 28 through May 31. It will reopen on June 1 to make final changes to timesheets. Timesheet approvers must approve timesheets for biweekly employees by 11:59 p.m. on June 1.

HBS will reopen June 1 after the conversion of biweekly employee data from PPS to UCPath. Employees and timesheet approvers should review timesheet data on June 1, paying close attention to the following:

  • Employees who charge time to specific chartstrings should review time charged to each chartstring for accuracy.
  • Employees who charge hours to multiple Title Codes today will begin using a new Position menu to charge their time. Employees/approvers should confirm hours are assigned to the correct position on June 1.

Timesheets will remain open until 11:59 p.m. on June 1 to make any corrections.

Monthly Employee Timekeeping Deadlines

As previously announced, HBS closed on April 27 for the April 1 to April 30 monthly period. Other than the HBS conversion outage from May 28 through May 31, there will be no change to the timesheet submission and approval schedule for the May 1 to May 31 monthly period.

HBS Leave Request Submissions and Approvals

Except during the HBS system outage from May 28 through May 31, employees can continue to submit leave requests and supervisors can continue to approve leave requests during cutover to UCPath.
