Answers to Common Questions
Have a different training question? Email the MyTime training team.
How do I determine if my cost center is implementing Core Scheduling, Advanced Scheduling, or Advanced Scheduling with Clinical Scheduling Extensions?
Most cost centers that currently use Clairvia, StaffReady, OnOrOff, or symplr scheduling systems will move to MyTime Advanced Scheduling. Inpatient nursing units will implement MyTime Advanced Scheduling with Clinical Scheduling Extension. The MyTime project team has been working closely with these departments on the configuration of the new scheduling components. Most other UCSF Health cost centers will implement MyTime Core Scheduling.
You can download this Excel reference guide to look up your cost center (MyAccess login required).
Are all UCSF Health Managers required to complete training?
Training is required for all people managers. Whether managers need to complete a specific training course depends on the MyTime scheduling module being implemented for your cost center.
Please note that UCSF Heatlh cost centers that do not currently use the HBS Timekeeping System are not in scope for UCSF's May 11 MyTime implementation. This includes employees of Benioff Children's Hospital Oakland.
How do I register for training?
You can register for all virtual instructor-led training sessions in the UC Learning Center. Follow the registration links for each course above and log into the UC Learning Center. Watch a video tutorial on registering.
If you have already registered for a specific class, you will need to follow the steps in the cancellation video below before you can register for an alternate session of the same course. Watch a video tutorial on canceling a session.
Note: you do not need to register for self-paced eLearning. Once eLearning is available, follow the links for each course above to log into the UC Learning Center.
When is the due date to complete training?
- Health Managers should complete courses on managing timecards and managing schedules before early access begins on April 28.
- Timecard training for all employees will be available on April 14 and should be completed by all employees, including mangers, before the May 11 go-live for biweekly employees.
- Additional training for Health Managers in cost centers utilizing Clinical Scheduling Extensions will begin in April ans should be completed before the May 11 go-live for biweekly employees.
My cost center is implementing Advanced Scheduling. Why do I need to complete Managing Schedules in Core Scheduling?
The Advanced Scheduling module builds upon the foundation of the Core Scheduling module with additional features to meet more complex scheduling needs. All managers and schedulers in cost centers implementing Advanced Scheduling must also complete training on the Core Scheduling module. The Managing Schedules in Core Scheduling course is a self-paced eLearning course and will be available from the UC Learning Center on March 24.
Can I assign training to my team in the UC Learning Center and can I track whether they have completed training?
Yes, managers can assign any MyTime training course to their direct reports and monitor course completion in the UC Learning Center. For step-by-step instructions see How to Assign and Monitor Required Controller’s Office Training Available in the UC Learning Center.
I am participating in user acceptance testing (UAT) and already received training. Am I required to repeat training covered during UAT?
You are not required to repeat any training courses completed during UAT; your training completion will be recorded in the UC Learning Center. You should complete any training not covered during UAT (for example, timekeeping for employees).
