Review My Timecard (Non-Exempt Employees)

Use your timecard to enter your time, confirm that the work record is accurate, and view edits and comments entered by your supervisor or manager. You can view the timecard in List View, commonly used when opening the timecard on mobile device, or a Table View, commonly used when using a desktop computer. 

These instructions include how to:

How to Switch Your Timecard Display

  1. From the Home page, access the My Timecard tile.
  2. At the top of the tile select the arrow to go to the timecard page.
  3. On the timecard, from the top left-hand corner of the page, select Table View or List View to toggle from one timecard view to the other. Note: The List view is the default view of the timecard when you log in using your mobile device.
  4. Choose Select Timeframe to select a different time period, as needed. You will be able to view, but not edit, future pay period’s In Punch or Out Punch cells.

My Timecard Table View

The table view is a grid of columns and rows that displays each day for the selected timeframe in a row with columns that contain schedule and absence information, in and out punches, pay codes, and amounts, as well as shift, daily, and time period totals.

  1. At the action bar, you have access to edit your own timecard. This is where you select actions to perform on your timecard, such as:
    1. Submit timecard approvals
    2. View rounded punches
    3. Print your timecard using the Share button
    4. Save changes to your timecard
  2. The timecard grid displays your punches for each day. You can scroll up, down, left, or right to view the entire grid for each pay period. Note: You can click and drag the column dividers from the heading row to change column widths. The widths are saved until you change them.

  3. Enter time directly in a cell then press enter to complete. You can also advance to the next cell by tab.

  4. (Optional) If you right-click a cell in the timecard grid, you can view the Punch Actions window.

    • For example:
      • Date: date the punch occurred.
      • Time: The exact minute the punch occurred.
      • Rounded Time: The nearest rounded time according to UCSF’s time rounding rules.
      • Override: The type of punch performed.
      • Time Zone
      • Last Edit Date: The most recent date the punch was edited.
      • Edit Made By: The user who performed the latest edit on the punch. This could be yourself, or someone like your manager if a correction is necessary.

My Timecard List View

The list view displays each day in a stacked view for the selected timeframe. The days are arranged in a responsive layout that varies depending on the width of the timecard. Each day lists punches, pay codes, schedules, daily total, and total time to date.

  1. The selected timeframe, the total for the selected timeframe, and an approval status legend are displayed above the days in a rollup area.
  2. An Action Required indicator icon (a triangle with an exclamation mark) appears if you need to address exceptions.
  3. When you select a day, the day detail panel opens. This panel displays the timeframe and totals to date, as well as punch details, shift totals, and exceptions.

Note: If a punch, pay code, or schedule shift cross the midnight divide at the beginning or end of the selected timeframe, the additional days are displayed and calculated as part of the selected timeframe in both table and list views.
