HBS Notifications Update

A technical issue resulted in several delayed or missed HBS notifications between April and August. We are happy to report that all HBS notifications are now working as expected. We apologize for the inconvenience the missed notifications have caused.

Beginning this month, HBS will email new alerts to help employees, timesheet group owners, and supervisors monitor vacation and PTO balances. The following monthly notifications will be sent when UCPath balances transmitted to HBS for the most recent accrual period are approaching or exceed the accrual limit:

  • Approaching Maximum Alert: Sent when the employee’s balance in UCPath is 60-90 working days away from reaching their vacation/PTO accrual maximum. The number of working days reflects the notification requirements provided in the policy or collective bargaining agreement governing the employee’s position.
  • At Maximum Alert: Sent when the employee’s balance in UCPath has reached the vacation/PTO accrual maximum per the policy or collective bargaining agreement governing the employee’s position.
  • Over Maximum Alert: Sent once the employee has exceeded their vacation/PTO maximum limit. This alert indicates that the employee has accrued leave into the entitlement bucket for Additional Vacation/PTO either as the result of a current or past grace period exception.

The new alerts do not take into consideration leave usage reported in HBS not yet transmitted to UCPath. Employees who have requested or received an approved grace period exception to accrue over the vacation/PTO accrual maximum will continue to receive alerts until balances are below all alert thresholds.

UCPath is UCSF’s system of record for leave accruals, usage, and balances and has been programmed to meet University of California policy and local and systemwide bargaining agreements for the accrual and proration of leave limits.
