How to Manage Workload Patterns in MyTime Advanced Scheduling

Workload patterns allow organizations to record staffing plans that can then be used to analyze coverage, create open shifts, and generate schedules.

Workload patterns are entered on the Workload Planner and typically apply to locations and jobs that have fixed workloads or workloads that do not change often and are unrelated to a particular business demand.

There are two types of workload patterns:

  • Budget: Usually created annually for an organization or specific department cost center
  • Plan: Created and maintained for an upcoming schedule period

Managers can review and compare both types of workload patterns in the Workload Planner.

This guide, intended for managers, timekeepers, and schedulers, provides step-by-step instructions on how to create and revise workload patterns that can be used to generate scheduling targets.

How to Enter a New Workload Pattern

  1. On the Home page, select the menu button on the top left. Expand the Workforce Planning header and select Workload Planner.






























     
  2. On the Workload Planner page, select Location Filter.















     
  3. In the Location Filter slider, select the applicable location and select Apply. If you select too many locations or accidentally select a location you would not like to view, you may either uncheck the selection or click on the X button next to the row you would not like to see.
















     
  4. Select Tools, followed by Add Workload Pattern.






















     
  5. On the Workload Pattern page, select Add New Pattern if a pattern exists and you need to create an additional pattern. If no pattern exists, go to the next step. Additionally, to create a Plan pattern, a Budget pattern for the selected location must exist.












     
  6. On the pattern tab, select the applicable type from the drop-down list. The pattern start date defaults to the first day of the loaded timeframe. Select a different Start Date from the calendar, if needed. Be aware that the start date cannot be in the past. Select Specify Date and choose the applicable end date, if needed. Otherwise, the system will default the end date to forever.















     
  7. For each time span and job, enter the appropriate daily headcount required to meet the location’s scheduling needs.
  8. Select Apply. Review the workload that appears in the Workload Planner.

 

How to Change the Workload Pattern Type

  1. On the Workload Planner page, select Location Filter.
  2. In the Location Filter slider, select the applicable location and select Apply.
  3. Select Tools and then select Add Workload Pattern. Budget and Plan Workload patterns for the selected location appear.
  4. Select the arrow on the applicable pattern tab and select Change Type.
  5. Select the applicable pattern type, then select Apply. To avoid duplicate Budget or Plan patterns with overlapping dates, a Warning notification appears informing you that you will overwrite the original Budget or Plan pattern.
  6. Select Yes.

How to Edit/Update a Workload Pattern

  1. On the Workload Planner page, select Location Filter.
  2. In the Location Filter slider, select the applicable location and select Apply.
  3. Select Tools and then select Add Workload Pattern. Budget and Plan Workload patterns for the selected location appear.
  4. Select the arrow on the applicable pattern tab and make the appropriate selection. Selecting Edit will update the displayed pattern (this only works if the Start Date is in the future). Selecting Duplicate will copy the displayed pattern to use as the basis for a new plan.
  5. Make the necessary updates to the pattern dates and headcount.
  6. Select Apply.
  7. Review the workload that appears in the Workload Planner.
Be aware that you can edit a future workload pattern, but you cannot edit a workload pattern that started in the past. However, you can duplicate an existing workload pattern and make any revisions necessary.
 

How to Duplicate/Copy a Workload Pattern

  1. Select Tools and then select Add Workload Pattern.
  2. Select a Workload Pattern.
  3. Select Duplicate.
  4. Select a Type for the new Pattern from the Type drop-down list.
  5. Specify a Start date.
  6. Select specify Date and enter an End date or select Forever.
  7. You may make changes to the workload. This step is optional.
  8. Select Apply.
Be aware that only the headcount data that matches shifts and schedule zones at the destination location is copied. You cannot copy the structure of the shift set or schedule zone set in the workload plan to another location. Data that does not match shifts, zones, and time spans at the destination location is not copied.

How to Delete a Workload Pattern

  1. On the Workload Planner page, select Location Filter.
  2. In the Location Filter slider, select the applicable location and select Apply.
  3. Select Tools and then select Add Workload Pattern. Budget and Plan Workload patterns for the selected location appear.
  4. Select the arrow on the applicable pattern tab and select Delete.
  5. Select Yes on the Warning notification to confirm that you want to delete the pattern.
  6. Select Apply to close the Workload Pattern Page.
