Mission Based Report Job Aid

The Mission Based Report displays Actual Revenues, Expenses, Other Changes, and Net Position by Mission (Function Code). The report defaults to Level C of the account tree but can also be viewed at Account Level B, D, & E. This step-by-step guide explains how to filter and run the report.

What Can I Learn from the Mission Based Report?

  • Provides clear reporting of Revenues, Expenses, Other Changes and Net Position totaled by Function Code on an annual or YTD basis (depending on the time filters used)
  • Report can be run for a Control Point, Division, and Department or at the Dept ID posting level
  • Allows Actual Expenses, Revenues and Other Changes to be expanded and collapsed up and down the Account tree to see data at many account levels
  • Provides drill-through capability to Revenues, Expenses and Other Changes totals by Function Code to display transaction details
  • Provides calculated positive or deficit Net Position totals by Function Code for the Account Level selected

Report Date Filters

Use the Report Date Range dropdown filters to specify the date range. The report defaults to the current open period.

Chartstring Filters

  1. Business Unit (BU) is the only required (*) Chartstring Filter. The filter page defaults to select only the SFCMP, or Campus BU. You may override the default and select another individual BU or multiple BUs .
  2. The Mission BasedReport displays Revenue, Expense, and Other Changes; additional filtering by Account is not available .

Additional chartfield parameters may be selected as desired.

Report Output Selection

  1. Choose your desired Report Output Selection of On Screen HTML (default), PDF, or Excel .
  2. Click the Run Report button .

Working in the Report View

The Mission Based Report displays data according to the dates selected on the filter page and totals: Revenues , Expenses , Other Changes , Change in Net Position , and Net Position  by Function Code .























 

  • You can change Account levels without re-filtering the report from the report view in addition to selecting the level on the Filter Page. Select the desired level from the Change Account Level drop-down menu in the upper left-hand corner of the report .
  • You can expand Account levels to show more detail at a lower level of the Account tree:
    • Click the Account you want to expand, e.g., Recharge & Costed Central Act expands into Recharges and Costed Central Activities .
      • To collapse an Account group:
        • Right-click the Account group to collapse.
        • Click Drill Up from the pop-up menu .
















 

  • When a value displays as a blue hyperlink, there is additional detail available:
    • Click the amount you want to see more details about ; a Transaction Detail Report (TDR) opens up in a new tab/window.

       
  • Unrestricted – beginning of period and Restricted – beginning of period will not display at the beginning of any fiscal year (e.g., a date range beginning with July). This occurs because Net Position at the Function level does not carry forward at the end of a fiscal year .

Tips and Tricks

  • Two versions of the Mission Based Use Report exist. The current version of the report contains data from the three most recent fiscal years and is accessed directly from the Management Reports landing page. The archive version of the report contains historical data older than the three most recent fiscal years and is accessed through the current report via the “Archive Periods” link located below the Run button in the top right section of the filter page.
  • The MyFavorites functionality allows you to save and retrieve frequently used filter criteria. See the Managing and Scheduling MyFavorites in MyReports job aid for instructions on saving report parameters to MyFavorites, and how to select and run a saved Favorite.
  • For the easiest navigation when using MyReports, close extra browser tabs/windows (usually the result of drilling through to another report) when you have completed reviewing and/or exporting the information.
