Verification of Employment (or Income)

UCSF uses The Work Number to provide employment and income verifications for employees.

The Work Number is a secure, automated service providing employees with the ability to quickly deliver proof of employment or income to authorized verifiers. The Work Number is available 24 hours a day, 7 days a week.

Use of The Work Number has been identified as a University of California Working Smarter Initiative and is being implemented system-wide with the approval of a number of staff and academic governance committees. The Work Number provides verification services to over 50 million employees and is widely known to mortgage lenders, banks, apartment complexes, and others who may need proof of your employment or income.

Follow the instructions below to direct verifiers to The Work Number to complete verification requests.

Current Employees

For Proof of Employment

  1. Direct verifiers to The Work Number:
  2. Provide the verifier with the following information to perform the verification:
    • Your Social Security Number
    • Employer Code: 15975 (Regents of the University of California)

For Income Verifications

To protect confidential income information, you may be required to create a Salary Key (a six-digit number that allows one-time access to salary information) to authorize an income verification.

  1. Create a Salary Key

  2. Provide the income verifier with:

    • The one-time Salary Key

    • The Work Number access options for verifiers:

    • Your Social Security Number

    • Employer Code: 15975 (Regents of the University of California)

For a Report of Verification Requests

The Work Number keeps a record of all verifiers that have attempted to access your data or that have received your information. Request an Employment Data Report if you wish to view this information, as well as the employment and income information provided from employers.

Self-Service Verification through UCPath online

Employees can also log into UCPath online (opens in new window) to print out an employment verification summary.

Review the Generate Employment Verification Summary (opens in new window) software simulation to see, try, or print the steps needed to generate your employment summary including dates of employment and earnings. Your summary will be published on UC letterhead, which will include your current employment information and payroll earnings.

Note that the UCPath employment summary report will only show earnings paid through UCPath. If you previously worked at a UC location with fewer than two years of earnings processed through UCPath, your summary may be incomplete. If this is the case, submit a case through UCPath online to request an updated summary. To do so:

  • Navigate to the Ask UCPath button at the upper right corner of the dashboard
  • Select Submit An Inquiry > Human Resources > Human Resources Inquiry
  • Enter subject, “Employment Verification Inquiry”
  • In the description field, state your needs
  • Verify your contact information and submit

Opt Out of Verification of Employment Daily File

Faculty, academic personnel, staff, and student employees are automatically included in the daily update sent to UC's external partner that performs employment verification activities.

Review the Opt Out - Verification of Employment Data File (opens in new window) software simulation to see, try, or print the steps needed to change your opt in preferences in UCPath online (MyAccess login required).

Those who opted out must refer all verifiers (banks, employers or leasing agents) to UCPath to complete employment and income verifications manually. Only employment and income verifications for those who opted out will be completed. All other employment and income verifications must contact The Work Number (opens in new window).

For proof of income or salary, you will need:

  • the Employer Code: 15975 (Regents of the University of California)
  • the employee’s Social Security Number
  • a permissible purpose for accessing the information, as defined by the Fair Credit Reporting Act
  • consent from the employee to access income their data
  • credentialed access to use The Work Number

Fees

The Work Number charges a fee to the verifier for employment verification services.

Student Employees

As of April 30, 2023, The Work Number handles UC student employment verifications just as it handles employment verifications for all other UC employees. Student employees are included in the daily update sent to UC's external partner that performs employment verification activities.
