How to Prepare for the PeopleSoft Financial System Upgrade – Coming March 21, 2022

As previously announced, UCSF is upgrading to PeopleSoft Financials and Supply Chain Management Image 39. All PeopleSoft users should prepare for the changes coming when the new system goes live on Monday, March 21.

What's Changing with the Upgrade to PeopleSoft Image 39

A key feature of the upgrade is PeopleSoft's Fluid User Interface (UI), which simplifies navigating within PeopleSoft. All users will experience changes to the look and feel of the system across all PeopleSoft modules, including General Ledger, the Research Administration System (RAS), Asset Management, and Supply Chain Management.

  • A new homepage provides visual tiles to quickly access the PeopleSoft components for your role.
  • The Navigation Bar (NavBar) gives you quick access from anywhere in the system to recently used links, My Favorites, and the “classic menu” to get to any page.
  • Navigation collections simplify menus into curated links for the pages you need to access most often.
  • Approvals and Worklist tiles notify you of actions needed across related modules for quick follow-up.
  • The Fluid UI works seamlessly across platforms and adapts to any device.
What Does Not Change with the Upgrade to PeopleSoft Image 39

Users will not experience changes except in the look and feel of the system and how they navigate to the components and pages in use today.

  • While the navigation steps to get to components and pages are changing, procedures for entering and approving transactions are not changing.
  • Favorites saved in the current version of PeopleSoft will be available after the upgrade.
  • Campus user roles are not changing, nor is the access request process using the Access Management Application.
  • Users will continue to log into PeopleSoft using MyAccess.
What You Need to Know to Prepare: March System Outage

The PeopleSoft Financial System will not be available from Saturday, March 19 through Sunday, March 20. PeopleSoft users will receive reminders about the outage via IT Service Desk Notifications as we get closer to go-live.

What You Need to Know to Prepare: Fluid UI Training

Start learning now about the new PeopleSoft Fluid User Interface. All users are advised to complete the brief course, How to Navigate in the PeopleSoft Fluid User Interface, available on the Controller’s Office website. In this introduction you will learn how to navigate the PeopleSoft Fluid User Interface and where to find the menus and pages you used in the classic PeopleSoft navigation structure.

Join a demonstration session beginning in March. The Controller’s Office will host weekly sessions to demonstrate the key navigation features of the PeopleSoft Fluid User Interface. Join any virtual session for a guided tour and to ask questions.

  • Tuesday, March 8, from 9 – 9:30 a.m.
  • Wednesday, March 16, from 11 – 11:30 a.m.

  • Wednesday, March 30, from 1 – 1:30 p.m.
  • Tuesday, April 5, from 9 – 9:30 a.m.

Registration is required. A recorded demonstration will be available for those unable to join a live session.

Review updates to existing training materials at go-live. Current job aids and materials for completing journal transactions, managing capital equipment, and using the Research Administration System (RAS) will be updated on March 21 to reflect the new Fluid UI. Keep in mind that general procedures for entering or approving financial transactions are not changing.
