Reports in MyReports are grouped by tab or report category. This page describes each report and is organized by tab. 

Consolidated Reports

Consolidated Financial Report
Consolidated Statement of Revenues, Expenses, and Changes in Net Position, including all Adjustment Period entries, as of a selected fiscal quarter for all Control Points (Dept ID Level 1) or for selected Control Point Dept IDs. Report can be expanded to show Accounting Period entries and Adjustment Period entries by quarter and by month. Control Point reports can be expanded to display the next level down the Dept ID tree. Report defaults to Level B of the Account tree, but can also be viewed at Levels C, D, E, and F.

Transactional Reports

Accounts Payable/Purchase Order Inquiry Report
Displays detailed line level information associated with a single Voucher, Vendor Invoice Number, or Purchase Order.

Asset Management Report
Used by Custodians, this report lists detailed information about capitalized assets to enable departments to perform their physical inventory. The report can also be used for basic inquiry, including the status of an asset.

Balance Sheet Report
Displays Asset and Liability account activity and balances for a selected date range. The report can be displayed at a summary Account level, or at a detail level including Fund, Dept ID, and Project.

Distribution of Payroll Expense by Account Report (DPE)
Displays detailed payroll information for all transactions processed through the UC Payroll System at a level of detail not available in the GL Payroll Journal.

Purchase Order Lien Balance Report
Displays purchase orders with open balances for the specified search criteria, as of the close of the previous business day.

Transaction Detail Report
Displays detailed transaction information including Payroll, Accounts Payable, Purchase Orders, Financial Journals, and Budget Journals. Facilitates research and reconciliation. Used for Step 1 in the paper-based GL Verification procedure and to review general ledger detail for a set of criteria.

Operational Reports

Actual vs. Plan Comparison Report
Compares YTD Actuals to YTD Plan and calculates variance. Also compares Actuals/Forecast to Fiscal Year Plan and calculates variance. Report defaults to Level C of the account tree, but can also be viewed at Account Level B through F.

Current Year vs. Prior Year Actuals Comparison Report
Provides a side-by-side comparison of the current fiscal year’s actual transactions through the last closed month and the previous fiscal year’s actual transactions through the same month. Report defaults to Level C of the account tree, but can also be viewed at Account Level B through F.

Department Accounts Receivable Report
Displays information about department accounts receivable invoices billed to external (non-UC affiliated) customers for use of UCSF property or the receipt of goods or services. Report display includes options to view invoice aging, chartstring information, and invoices by customer.

Gift and Endowment Income Report
Displays transfer activity for Restricted Gifts, Unrestricted Gifts, and Endowment income between the Foundation and the Regents across all Business Units.

Monthly Report
Two formats:

  1. Displays monthly Actuals, compares Actuals/Forecast to Plan, and displays variance to Plan.
  2. Displays monthly Actuals on a fiscal year basis, and calculates a YTD monthly average amount for each Actual account category. Report defaults to Level C of the account tree, but can also be viewed at Account Levels B through F.

Net Position Report
Displays the actual Equity/Net Position of a Dept ID, Fund, or Award/Project -- including current year Revenues, Expenses, and Other Changes -- for a selected date range.

Payroll Funding Report
Provides a fiscal year view of employee payroll by compensation types X, Y, Z, and benefits. Displays monthly Actuals for closed periods and UCPath distributions for future periods.

Project Comparison Report
Displays Revenues, Expenses, Other Changes, and Net Position by Project in side-by-side columns. Options include comparing Actuals against Plan or Forecast with calculated variance; output can be viewed at levels B through E of the Account tree. The report is best used to view a small set of non-sponsored Projects.

Sponsored Projects Balances Report
Enables departments to monitor Awards/Projects at any point in time, and at any level of the Dept ID tree. The report shows Budget, Actual Expenses, and Other Changes, and indicates whether each project has a positive or deficit balance.

Subaward Status Report
Provides subcontract details and financial activity for subawards recorded in the Research Administration System (RAS), including intercampus subcontracts. Users can drill to subaward budget and modification details; accounts payable vouchers, invoices, and payments; and ledger transactions.

Management Reports

Fund Group Report
Displays Actual Revenues, Expenses, Other Changes and Net Position by Fund Group (source of funds). Report can be expanded and collapsed up and down the Fund tree (Levels C-E) and the Account tree (Levels B-E) to see data at various levels.

Mission Based Report
Displays Actual Revenues, Expenses, Other Changes, and Net Position by Mission (Function Code). Report defaults to Level C of the account tree, but can also be viewed at Account Level B, D, & E.

Organization Report
Compares YTD Actuals against YTD Plan or YTD Forecast and calculates the variance by Department(s) or Department Nodes. Report can be expanded and collapsed up and down the Dept ID tree to see data at all department levels. Report defaults to Level C of the account tree, but can also be viewed at Account Level B, D, & E.

Project Use Report
Displays Actual Revenues, Expenses, Other Changes, and Net Position by Project Use, an attribute of the Project chartfield, which indicates a specified activity or purpose of the project. Report defaults to Level C of the Account tree, but can also be viewed at Account Level B, D, & E.

Faculty Portfolio Reports

MyPortfolio Report
Displays summary level General Ledger (GL) data for a Faculty and/or Principal Investigator’s (PI) entire portfolio of funds, including project details such as sponsored balances and non-sponsored net position. An optional Burn Rate graphic is available for Sponsored Projects which shows actual spending vs. time elapsed.

Award/Parent Summary Report
Provides a comprehensive view of Sponsored or Non-Sponsored Project activity with summary level General Ledger (GL) data for Project Award/Parent IDs. Report defaults to Level D of the account tree, but also can be viewed at Account Level B through F.

Faculty Portfolio Monthly Report
Displays monthly General Ledger (GL) data for the fiscal year by Project-Activity Period-Dept ID. Sponsored Projects include Budget and Actuals. Non-Sponsored Projects include Revenues, Expenses, and Net Position. Options include a choice of Analyst or Faculty report view, as well as the option to run the report at Account Level B through F.

Payroll Detail by Month Report
Displays General Ledger (GL) data for Payroll Expenses by month. The report is run for Project-Activity Period or by Employee. By default, the report displays all payroll elements, such as Gross Pay, Benefits and VLA/Vacation Accrual, but the output can also be filtered to display single elements.

Program Portfolio Report
Displays summary level General Ledger (GL) data for programs with projects from multiple PIs and/or multiple Dept IDs. Report filters provide flexibility to define report data and date parameters, and includes the option to display direct costs only.

Project Summary Report
Displays summary level General Ledger (GL) data for the Project chartfield. The report can be run for a single or multiple Projects. Report defaults to Level D of the account tree, but also can be viewed at Account Level B through F.

Sponsored Awards Summary Report
Displays Research Administration System (RAS) billing and payment information as well as Budget Balance and current fiscal year Net Position by Award-Project-Activity Period.

Control Point Reports

SOM Financial Reports
Financial Reports developed and maintained by SOM. Access to the reports is administered by SOM and limited to their authorized users.

FAS Financial Reports
Financial Reports developed and maintained by FAS. Access to the reports is administered by FAS and limited to their authorized users.

UCSF Health Reports - Labor Productivity

Labor Productivity Summary Report
Provides a visual display of budget, flex, actuals, and variances in FTE and dollar amounts. Graphs display labor data by pay period, Dept ID, job code, and pay category. Users can drill through to other Labor Productivity reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree.

Labor Productivity Trend Report
Displays labor budget, flex, actuals, and variances in FTE and dollar amounts for a selected pay period and up to 26 prior pay periods. Also includes calculations for a 6-pay-period average and YTD averages/amounts as of the selected pay period. Users can drill through to other Labor Productivity reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree.

Labor Productivity by Dept ID Report
Displays labor budget, flex, actuals, and variances in FTE and dollar amounts, and units of service by Dept ID for a selected pay period. Data can be rolled up or down the Dept ID tree hierarchy to display labor productivity across organizational levels. Users can drill through to other Labor Productivity reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree.

Labor Productivity by Job Code Report
Two report components display labor productivity data at the job code level and employee level. A Job Code Summary section displays labor budget, flex, actuals, and variances in hours, FTEs, dollars, and skill mix for a selected pay period. A Job Code Detail section displays actual amounts in hours, FTEs, and dollars. Users can drill down to the employee level to view the HBS pay code classifications recorded for the pay period and can further drill through to the employee’s HR distribution details.

Distribution of Payroll Expense by Alt Account (DPE) Report
Displays detailed payroll information for all transactions processed through the UC Payroll System at a level of detail not available in the GL Payroll Journal.

Employee and Position Distribution Report
Displays current and future funding entries including additional pay in a list by HR Department, Employee, Reports To, Position, and/or specific chartstring.

Employee and Position Roster Report
Displays Employee and Position details with default department funding in a list by HR Department, Employee, Reports To, Position, and/or specific chartstring.

UCSF Health Reports - Monthly Variance

Monthly Variance Summary Report
Provides a dashboard overview of financial performance as of a selected month and fiscal year-to-date (YTD). The report displays actuals, fixed budget and flex budget, and corresponding variances for Statistics, Revenue, Expense, Non-Operating Income/Expense, and Other Changes in Net Position. Users can drill through to other Monthly Variance reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree. Variance Analysis Tool (VAT) Alerts and Comments are available for easy reference.

Monthly Variance by Alt Account Report
Displays actuals, budget and flex, and corresponding variances for Statistics, Revenue, and Expenses as of a selected month and fiscal year-to-date. Users can drill through to other Monthly Variance reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree.

Monthly Variance Trend Report
Displays monthly actuals on a fiscal year basis and calculates monthly and year-to-date variances to budget and flex for Statistics, Revenue, Expenses, and Other Changes in Net Position. Users can drill through to other Monthly Variance reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree.

Monthly Variance by Dept ID Report
Displays actuals, budget and flex, and corresponding variances for Statistics, Revenue, and Expenses, and Other Changes in Net Position as of a selected month and fiscal year-to-date. Data can be rolled up or down the Dept ID tree hierarchy to display data across organizational levels. Users can drill through to other Monthly Variance reports to view more detailed data. The report can be run by Functional Owner and for any level of the Dept ID tree.

Alt Account Detail Report
Displays detailed transaction information by Alt Account, including Payroll, Accounts Payable, BearBuy Purchase Orders, and Financial Journals. Facilitates research and reconciliation. Used to review general ledger transaction detail for a set of criteria.

McKesson AP Detail Report
Displays detailed transaction information for vouchers created in McKesson and posted to PeopleSoft, including PO, Invoice, Vendor, Voucher, Functional Owner, and Item Description.

UCSF Health Reports - Health Financial

Alt Account Detail Report
Displays detailed transaction information by Alt Account, including Payroll, Accounts Payable, BearBuy Purchase Orders, and Financial Journals. Facilitates research and reconciliation. Used to review general ledger transaction detail for a set of criteria.

Balance Sheet Report – UCSF Health
Displays Asset, Liability, and Net Position Alt Account balances as of selected period. The report can be displayed at a summary and detail level.

Income Statement Report
Displays Revenue, Expense, Non-Operating Income/Expense, Other Changes, and Net Position balances by Business Unit as of a selected month and fiscal year-to-date. Also displays Fixed Budget for selected month and fiscal YTD. The report can be displayed at a summary and detail level.

Income Statement Variance Report
Displays Revenue, Expense, Non-Operating Income/Expense, Other Changes, and Net Position actuals as of a selected month and fiscal year-to-date. Also displays monthly and YTD Fixed Budget, Flex Budget, and Prior Year Actual amounts. The report can be displayed at a summary and detail level.

Key Operating Trends
Displays monthly Revenue, Expense, Non-Operating Income/Expense, Other Changes, and Net Position on a fiscal year basis. Includes monthly trend calculation of Operating Marin and Operating EBIDA. The monthly actuals can be displayed at a summary and detail level.

McKesson AP Detail Report
Displays detailed transaction information for vouchers created in McKesson and posted to PeopleSoft, including PO, Invoice, Vendor, Voucher, Functional Owner, and Item Description.

HR Data Reports

Employee and Position Distribution Report
Displays current and future funding entries including additional pay in a list by HR Department, Employee, Reports To, Position, and/or specific chartstring.

Employee and Position Roster Report
Displays employee and position details with default department funding in a list by HR Department, Employee, Reports To, Position, and/or specific chartstring.

Employee and Position Salary Report
Displays employee salary information on a fiscal year basis by the compensation types of Base Salary (X), Negotiated Salary (Y), and Other Compensation (Z), based on UCPath position funding entry records and recurring additional pay entries.

HR Event Report
Displays HR Events such as Appointments and Separations with the ability to drill-through to Event details. Data available from between July 2013 and May 2020.
