Gift and Endowment Income Report Job Aid

The Gift and Endowment Income Report allows you to view Restricted Gifts, Unrestricted Gifts, and Endowment income across Business Units. The report displays transfer activity between the Foundation and the Regents by leveraging Pair logic. Pair Logic identifies when the same Project is used in recording activity across all Business Units (BU). This step-by-step guide explains how to filter and run the report.

What Can I Learn from the Gift and Endowment Income Report?

  • Displays beginning and ending Net Position by Project and clearly identifies transactions related to transfers between the Foundation and the Regents Business Units
  • Displays transfer amounts under the Foundation Transfer In and Foundation Transfer Out columns
  • Can be run for only Restricted and Unrestricted Gifts and Endowment Income which are identified by the following Fund nodes:
    • 700C – Private Restricted Gifts
    • 710C – Private Unrestricted Gifts
    • 770C – Endowment Income

Report Date Filters

Use the Report Date Range dropdowns to specify a range for the Gift & Endowment Income Report.

Chartstring Filters

  1. Business Unit (BU) is the only required (*) Chartstring Filter. The filter page defaults to select all BUs. You may override the default and select an individual or multiple BUs, but this will limit the visibility of Projects shared by a BU not selected .
  2. To ensure all applicable rows of data are returned, the Account and Fund chartfields are pre-filtered on the Gift & Endowment Income Report; additional filtering by Account and Fund is not available .

Additional chartfield parameters may be selected as desired.

Report Specific Filters

The Fund Selection defaults to specific Funds for Gifts and Endowments but can be deselected as required:

  1. Click the Fund to select; for multiple, hold down Command (Mac) or CTRL (PC) and click .
  2. Choose to see either Positive Net Position Only, Deficits Only, or All (default) .
  3. Optionally choose to sort by Project Award/Parent or Project Manager/PI .
  4. Select to Show Liens in the report .

Report Output Selection

  1. In addition to the report output selections of On Screen HTML (default), PDF, and Excel , you can choose Unformatted Data .
  2. The Unformatted Data output returns an Excel file that has no special formatting and a single row for column headings, making it the best source for pivot tables and other advanced spreadsheet analysis.
  3. Select your desired report output and click the Run Report button .
In both Excel outputs (standard Excel and Unformatted Data), the workbook will contain at least two tabs. The first tab/sheet always displays the entered filter criteria. The second tab/sheet displays the data and differs depending on whether you selected standard Excel or Unformatted Data.

Working in the Report View

  • When a value displays as a blue hyperlink, additional detail is available:
  1. Click the amount you want to see more about; a Transaction Detail Report (TDR) opens up in a new tab/window .
     
  • Transfers from the Foundation (SFFDN) to another BU are shown as an Expense to the Foundation and Revenue to the receiving BU ; the amounts in the Foundation Transfer columns can be clicked to open a Transaction Detail Report (TDR) in a new tab/window :




 

  • To display liens on the report:
  1. Click Show Liens .
  2. Click Update; the Liens and Projected Total with Liens columns are added to the report .





 

  • You have the option to sort and subtotal the Gift & Endowment Income Report by one parameter:
  1. Use the Sort drop-down menu in the upper-right of the report header to select the desired sort option, either Project Award/Parent or Project Manager/PI .
  2. Click Update to refresh and display the sorted report .
     
  • Helpful Sorts for the Gift & Endowment Income Report:
  1. Run the report by Project Award/Parent and then choose the Project Award/Parent Sort option; the report will render to show any roll-up relationships between the Parent Project  and any Sub-projects .

     
  2. Run the report by Project Manager/PI and then choose the Project Manager/PI Sort option; the report will render to show any roll-up relationships between the Project Manager/PI and Projects .

 

Tips and Tricks

  • Drill-through is provided on Transfer from Foundation, Revenues, Expenses and Other Changes to allow for more detailed analysis on the Transaction Detail Report (TDR).
  • Transfers not related to Gifts and Endowments are totaled under the Other Changes column of the report, e.g., transfers from within the Campus.
  • Uses Pair Logic which refers to the same Project being on both sides of the transaction, and allows viewing of transfer activity between the Foundation (SFFDN) and Regents BUs.

  • For the easiest navigation when using MyReports, close extra browser tabs/windows (usually the result of drilling through to another report) when you have completed reviewing and/or exporting the information.
