MyPortfolio Report Job Aid

The MyPortfolio Report displays summary-level General Ledger (GL) data for a single Faculty or Principal Investigator’s (PI) portfolio of Projects. This step-by-step guide explains how to filter and run the report.

What Can I Learn from the MyPortfolio Report?

  • View an entire portfolio for a single faculty member in one report
    • Displays sponsored balances and non-sponsored net position
  • View percent spent vs. percent time elapsed-to-date in a graphic
  • View Project details such as Nickname and Activity Period begin and end dates
  • Limit data by PI Type (Award/Parent PI, Project PI, and/or Lab Owner)
  • Include or exclude:
    • Burn Rate graphic
    • Inactive Project-Activity Periods
    • Pending Project-Activity Periods (Default)
    • PI Details (Award PI, Project PI, and/or Lab Owner)

Report Specific Filters

  1. Enter Faculty Name in the field. This field includes type-ahead functionality which displays matches as you type, allowing you to quickly and easily find the correct faculty name. After locating the correct Faculty member, click their name from the list of results .
     
  2. Choose the Display Projects by PI Type(s) – default is all types. PI Types are Project attributes entered during PeopleSoft Project chartfield setup:
    • Award PI: The Principal Investigator/Owner/Manager of the Award/Parent ID .
    • Project PI: The Principal Investigator/Owner/Manager of a Project .
    • Lab Owner: The Project’s Lab Owner .
    • To select only one PI Type, click just that selection. The other two types will be deselected. To select two of three types, press control (on a PC) or command (on a Mac) and then click your second selection.
       
  3. Make a Burn Rate Graphic Selection :
    • Excluded by default; longer report run times are likely when the graphic is included.
    • Allows quick comparison of percentages of time elapsed against dollars spent (Actuals and Liens) to date.
    • Only displayed for Sponsored Projects.
    • Can be turned on or off from the filter page or from within the report view.
       
  4. Select Project-Activity Period (optional):
    • Check Include Inactive Project-Activity Periods to include all inactive activity periods .
    • Check Pending Project-Activity Periods to include (default) pending activity periods (those which have approved budget pending but are not yet active) .

Report Output Selection

  • Choose your desired Report Output Selection of On Screen HTML (default), PDF, or Excel ().
  • Click the Run Report button ().

Working in the Report View

  • The report is divided into two main sections; Sponsored and Non-Sponsored Projects, both of which are grouped first by PI Type.
    • Sponsored Projects are grouped first by PI Type , then, subtotaled by Award ID .
    • Non-Sponsored Projects are grouped first by PI Type , then, subtotaled by Parent ID .
    • Sponsored Projects are subtotaled for each Award ID.
    • Non-Sponsored Projects are subtotaled by Parent ID.
    • Totals are provided for the Sponsored Projects section and separately for the Non-Sponsored section .


       
  • Click an underlined blue link to see additional detail:
    • Selecting an Award or Parent ID displays the Award/Parent Summary Report in a new tab/window .
    • Linked actuals and liens display in the Transaction Detail Report (TDR) in a new tab/window .
       
  • Show PI Details and/or the Burn Rate Graphic (hidden by default):
    • Checking Show PI Details and clicking Update displays the Award PI, Project PI, and Lab Owner columns in the report view .
    • Check to show or uncheck to hide and then click Update to change the Burn Rate Graphic display .

Tips and Tricks

  • The MyPortfolio Report runs for the current date only.
  • A Project is classified as “Sponsored” based on the Fund. All Funds under the Fund tree node 400C and Funds 4900 and 1810 are classified as “Sponsored.” All other Funds are “non-Sponsored.”
  • This report does not display Project 1111111.
  • UPlan (Hyperion) data is not available in Faculty Portfolio reports.
