Completing Historical Section 3 in Tracker I-9 Complete
All new Form I-9 and I-9 changes must be entered into Tracker I-9 Complete. You must complete Historical Section 3 in Tracker I-9 Complete when an employee:
- Has a legal name change
- Needs to be reverified (e.g., Employment Authorization Document Form I-766 is expiring)
- Is rehired within three years of the date on the original Form I-9 (if rehiring more than three years from the original Form I-9 date, a new Form I-9 must be completed)
Before you can complete Historical Section 3 in Tracker I-9 Complete, the employee must have an employee file and Form I-9 in the application. If the employee previously submitted a paper Form I-9 to UCSF, the Payroll Office must create a new employee profile and Historical Form I-9 in Tracker I-9 Complete. Use one of the following three recommended methods to complete Historical Section 3 for individuals who originally completed a paper Form I-9:
- The I-9 Processor may submit a request to the Controller's Office Solution Center to have the Payroll Office create a Historical Form I-9 in Tracker I-9 Complete.
- The Payroll Office will locate the paper Form I-9, create a historical Form I-9, and attach the paper Form I-9 in Tracker I-9 Complete.
- The Payroll Office will close the ServiceNow ticket indicating that the Historical Form I-9 has been created.
- After the Historical Form I-9 is created, the I-9 Processor will meet with the employee to complete Historical Section 3.
- If Payroll cannot locate the original paper Form I-9, the I-9 Processor should complete a new Form I-9 in Tracker I-9 Complete.
