HR Data Reports

MyReports is UCSF's campus-wide reporting solution that provides financial and human resources data to meet the needs of users at all levels within our organization. The HR Data Reports in MyReports include:

Employee and Position Distribution Report

The Employee and Position Distribution Report (job aid) displays current and future funding entries, including additional pay, in a list by HR Department, Position Department, Employee, Reports To, Position, and/or specific chartstring.

  • Provides detailed information related to all employee funding entry distributions.
  • Provides detailed information on current and future dated distributions.
  • Key end dates that have passed or are within three months of the report run date are conditionally formatted in red text.
  • Allows for reporting at the HR Department and/or Position Department level down to the individual employee level.
  • Allows for drill-through to Employee and Position Roster Report
  • Provides an option to show 1.0 full-time equivalent (FTE) hourly, monthly, and annual compensation rates as desired.

Employee and Position Roster Report

The Employee and Position Roster Report (job aid) displays Employee and Position details with default department funding in a list by HR Department, Position Department, Employee, Reports To, Position, and/or specific chartstring.

  • Provides detailed position, job, and employee information.
  • Provides a list of unfilled positions.
  • Provides a list of positions by supervisor.
  • Provides summary statistics for Employee Count, Contingent Worker Count, Job Count, Job FTE and Position FTE.
  • Key end dates that have passed or are within three months of the report run date are conditionally formatted in red text.
  • Allows for reporting at the HR Department and/or Position Department level down to the individual employee level.
  • Allows for drill-through to the Employee and Position Distribution Report.
  • Provides an option to show 1.0 full-time equivalent (FTE) hourly, monthly, and annual compensation rates as desired.

Employee and Position Salary Report

The Employee and Position Salary Report (job aid) displays employee salary information on a fiscal year basis by the compensation types of Base Salary (X), Negotiated Salary (Y), and Other Compensation (Z), based on UCPath position funding entry records and recurring additional pay entries.

HR Event Report

In conjunction with the transition to UCPath, the HR Event Report remains available for historical PPS transactions only. The HR Event Report (job aid) displays HR Events such as Appointments or Separations with the ability to drill-through to the HR Event Detail Report for more information. Data are available from July, 2013 to May 2020. The HR Event Report displays information by employee name with a unique row for each HR Event.

  • EDLR – Late/Reduce Payment
  • EDLR – Late/Reduce Payment
  • EDRA – Retroactive Pay
  • HIRE – Hire/Rehire
  • LEAV – Leave of Absence
  • SEPR – Separation

Events can include multiple HR Actions. Refer to the HR Action Codes Inquiry Report for a complete list of HR Actions. Common values include:

  • 18 – Change in Fund Source
  • 24 – Change in Leave Plan
  • 40 – Other Appointment Action
  • 46 – Change in % Full Time
  • 50 – Other Distribution Action
