I forgot to punch in/out; how do I fix it?

You can correct a missed punch directly in your timecard and submit it to your manager for approval. Refer to the following job aids:

Why did I receive a MyTime Timecard Review notification?

A Timecard Review notification indicates that your timecard may require attention before payroll processing. Common reasons include missing punches, timecard exceptions, unapproved changes, or entries that require review. For additional information, refer to the Resolve Timecard Exceptions for Hourly Timecards job aid.

Why can’t I edit my timecard?

Your timecard may be locked due to pending changes, approvals, or pay period close. Pending changes must be reviewed and approved before additional edits can be made. Refer to the Resolve Timecard Exceptions job aid.

Why doesn’t my timecard show an exact number of hours (for example, exactly 8 or 12 hours)?

Meal breaks of 30, 45, or 60 minutes include a 5-minute grace window for punching back in. If the punch falls within that window, the system deducts the standard meal duration. Meal breaks outside those standard durations use exact punch times, which can result in slightly more or less worked time than the scheduled shift hours.

How do I request or update a Leave of Absence (LOA)

Leave requests are managed through Sedgwick and UCSF Leave Management processes.

How do I request or cancel a time off request?

Employees can cancel submitted and approved time-off requests when no longer needed. For step-by-step instructions, refer to How to Cancel a Time Off Request.

How do I check my accrual balances (vacation, sick, PTO)?

How do I use or request Comp Time?

How does delegation work when a manager is out?

Managers can assign delegates to support approvals, scheduling, and timekeeping tasks during absences. Refer to the Create a Delegation job aid.

A supervisor’s manager is automatically delegated access to their direct reports. Exception: the manager cannot see “indirect reports” (direct reports of their direct reports) who are in a different department/cost center where the manager was not granted access.

I can't add or edit my schedule request.

The Self-Schedule feature in MyTime Advanced Scheduling allows you to choose the shifts you prefer to work in the upcoming schedule. If you are not able to add shift or edit shifts you have already selected and submitted, check if the corresponding schedule request period is open.

  • For each scheduling period, find the Employee Request Period dates using the MyTime Advanced Scheduling Calendar (MyAccess login required).
  • If the period is open, you can continue to build your schedule for the period until the request period closes. For step-by-step instructions, review Submitting Self-Schedule Requests in MyTime Advanced Scheduling.
  • Once the period has closed, contact your manager or scheduler for further assistance.

Where can I find the schedule of schedules?

Consult the MyTime Advanced Scheduling Calendar. MyAccess login is required to view the page.
 

Why can’t I see my employee(s) or timecards?

Managers can confirm their direct reports in MyTime from the Managing Timecards tile on their home page.

How does delegation work in MyTime?

When a manager expects to be unavailable, the manager (delegator) can delegate authority to another manager (the delegate) to access and receive their notifications and complete tasks during the absence. For instructions on how to do this, refer to the Create a Delegation job aid.

How do I get access as a manager or supervisor?

Manager self-service access is granted automatically when a “reports to” relationship is identified in UCPath. For more detailed information, review Manager and Supervisor Access.

Is there an easy way for me to view my team’s time-off requests?

Yes, consult the Review Time Off Requests Dataviews job aid. Managers often have many employee time-off requests to review, approve, and track. Dataviews can help managers with time-off request analysis and maintenance tasks.

Is there a report to help me keep track of attendance trends?

Refer to the Run Attendance Reports job aid. Attendance reports provide information on attendance events and actions taken in MyTime. These reports allow you to find information on the frequency, type, and employees who have attendance information related to them.
