
MyTime Minute: What People Managers Need to Know Now

MyTime Minute is a resource for people managers during UCSF’s timekeeping and scheduling system transition. Check your inbox for periodic updates and find more information at tiny.ucsf.edu/mytime.
What’s Happening Now
Employee training starts on Monday, April 14. Next week all employees will receive a direct email with links to their MyTime training.
Here’s what managers and supervisors need to know:
- All employees will complete one self-paced eLearning course on timekeeping.
- Employees in UCSF Health cost centers implementing advanced scheduling will complete one additional eLearning course on self-service scheduling.
- Courses are available in the UC Learning Center and are estimated to take between 30 and 60 minutes to complete.
- Employees should complete training before their go-live date (May 11 for biweekly employees and June 1 for monthly employees).
Here’s how you can help your teams complete training:
- Please make sure your direct reports know which training courses to complete and how to access them in the UC Learning Center.
- Employees may need help identifying if their jobs are exempt or non-exempt. If you don’t know, you can confirm this information by job code.
- Please ensure employees have time to complete training during their regularly scheduled hours. Job aids for specific tasks will also be available closer to go-live.
- Did you know? You can assign the MyTime training to your direct reports in the UC Learning Center, including setting a due date.
Additional actions for managers to complete now:
- Complete your training before early system access begins on April 28.
- Approve HBS time off requests before cut-off on April 21 for import to MyTime. UCSF has established a cut-off date of noon on Monday, April 21, 2025, to record all approved time off requests in the HBS Timekeeping System for the following leave periods:
- For biweekly employees: leave dates on or after May 11, 2025
- For monthly employees: leave dates on or after June 1, 2025
Requests not approved by the cut-off will not be included in the HBS data extract loaded to MyTime and can be entered once MyTime early access begins on April 28. Review details on the Controller’s Office website.
What’s Next: Key Dates
- April 14: training for all employees begins - review the employee training plan
- Noon on April 21: HBS timesheet group approvers must approve time off requests to be imported to MyTime for go-live. Review important details
- April 28: MyTime early system access for managers, timekeepers, and schedulers - more details on required cutover actions to follow
- May 11: MyTime go-live for biweekly employees
- June 1: MyTime go-live for monthly employees
